A dealer's guide to intake verification
A practical intake routine for dealers taking watches in purchase, trade, or consignment, covering serial checks, documentation cross-checks, and the records that protect the business.
Intake is the moment of maximum risk in a watch business. A watch crossing the counter, whether as a purchase, a trade-in, or a consignment, carries every problem it has ever accumulated: a theft two owners back, a swapped dial, a cloned serial, paperwork that belongs to a different watch. Once money moves or the watch enters your inventory, its problems are your problems, with your name attached at resale. A disciplined intake routine is the cheapest insurance the business can buy.
This guide assumes a professional reader and focuses on the verification layer. It does not cover pricing, and it does not replace whatever secondhand-dealer, reporting, and record-keeping obligations apply in your jurisdiction; those come first and vary by location.
The intake routine
- Capture the serial before anything else. From the watch itself, rehaut or case, never from the seller's paperwork alone. If the bracelet has to come off to read it, take it off. A watch whose serial cannot be read is not ready to price.
- Run the theft check before money moves. Search the serial against the registry, and against any other database active in your region; flags do not synchronize between databases. Do this in front of the seller as routine, not accusation: honest sellers expect it, and the other kind should know you check. - Cross-check the documents against the watch. Card serial to case serial, character by character. Reference number to actual configuration: metal, bezel, dial. Retailer stamp and date plausible for the reference's era. Documentation that fails any of these is a fact to resolve, not a detail to overlook, and papers alone were never proof to begin with.
- Examine the watch physically. Engraving quality under magnification, movement behavior against the claimed caliber, case and dial consistency for the reference and era. Where the watch is beyond in-house expertise or the money is serious, route it to a qualified authenticator before commitment; the network map is where to find one working near you.
- Record the intake. Serial, photographs including identifying markings, the seller's identity as your local law requires, what was checked and what was found, date and staff member. The file you build at intake is the file that defends you later.
- Watch the human signals. Pressure to conclude quickly, a price meaningfully under market, reluctance to let the watch be examined, a story that shifts. None is proof of anything; each is a reason to slow down, and slowing down costs nothing.
Consignments deserve the same routine
It is tempting to treat consignment intake more lightly because the shop's money is not yet at risk. Resist it. A consigned watch with a flag or an authenticity problem puts the business in the middle of someone else's dispute, in public, with the shop's name on the listing. Run the identical routine, and record that the consignor attested ownership.
What the registry adds at intake
For watches carrying a Watch Safe record, intake gets materially faster and safer. The serial lookup returns the watch's registry entry: the in-person examination an independent authenticator signed, the recorded chain of hands, and any theft flag, checkable in the seller's presence in under a minute. A watch whose seller appears in its own ownership history has answered the right-to-sell question before it was asked.
The same record then works for you at the other end of the transaction: a registered watch with an unbroken history is an easier sale at a better margin, for exactly the reasons a bare watch is a harder one. Dealers who route acquisitions through authentication are not buying paperwork; they are converting inventory risk into a sales asset.

Serial first, theft check before money, documents against the watch, the watch against its claims, everything written down. Every step is minutes. The intake that skips them is the one you will remember for years.
